Full Conference (in-person or virtual, either dates) is a 16 to 16.25 hour educational program, Friday 3:00 pm Eastern (12 noon Pacific) to Sunday 5:30 pm Eastern (2:30 pm Pacific).  In-person price includes whole food plant-based meals, Fri. dinner to Sun. lunch.  Morning presentations begin 10:40 am Eastern / 7:40 am Pacific.

Short (Weekend) Conference (in-person or virtual, either dates) is a 12 hour educational program, Saturday 10:40 am Eastern (7:40 am Pacific) to Sunday 5:30 pm Eastern (2:30 pm Pacific).  In-person price includes whole food plant-based meals, Sat. breakfast to Sun. lunch.

Optional Meal after In-person Conference-end.  You may optionally register for a farewell dinner beginning after Sunday 5:30 pm Eastern, with maximum 2-hour serving time.

Optional Walkable Campus Housing for In-person Conferences.  EACH of the 2 conferences has affordable options for walking distance campus apartments where each person gets a private bathroom and a private locking bedroom.  This housing may be booked and paid as an option during regular online registration.  Parking at the housing site sometimes involves daily charges that may also be prepaid during registration.  Full details are shown separately for the May 21-23 Ypsilanti and June 25-27 Raleigh conferences at:

BOTH IN-PERSON AND VIRTUAL.  In each case, the virtual conference is just a simultaneous online livestream of exactly what is happening on-site at the in-person conference.  Both in-person and virtual participants have equivalent access to the same question/answer periods for each presentation.

On behalf of enhanced participant safety, in this pandemic / post-pandemic era, we will limit in-person attendance to 15-20% of the capacity of each conference hall, and will require:  COVID-19 testing prior to travel;  daily temperature screening;  disclosure of possible relevant symptoms;  masking throughout;  distancing procedures;  no sharing of microphones;  etc.

Registration prices are below.  ALL PRICES ARE EXACTLY THE SAME FOR THE 2 CONFERENCES, MAY 21-23 AND JUNE 25-27.

Our costs of processing registrations and payments will average an estimated $9/person, but we will add only a $2 charge for this during registration.  Our nonprofit invites you, if you wish, either to make an optional donation during registration to make up for this, or else to pay your registration by mailing a check, which should save us an average of $7 or $8 in costs.

Meals at Both In-person Conferences

All meals are 100% vegan without use of wheat as an ingredient, with oil-free options available.  Meals from your scheduled conference arrival up through Sunday lunch are included with registration.  The conference ends Sunday at 5:30 pm Eastern, and you may optionally register for a farewell dinner beginning then, with maximum 2-hour serving time.  The included breakfasts will have a 2-hour serving range to be scheduled before the earliest daily presentation begins at 10:40 am Eastern.

If you have ALREADY registered for the conference without housing, you may SEPARATELY book campus housing via a special link:  FOR MICHIGAN;  or FOR RALEIGH.

Parking at the conference hall (as opposed to the campus housing site) is free for the June 25-27 Raleigh conference, but does involve modest charges for the May 21-23 Michigan conference.  Persons who are bringing a car to the Ypsilanti conference site but not staying in campus housing, may prepay $8/day university parking fees during our regular online registration.

We highlight use of walking-distance campus apartments, but out-of-town attendees may of course arrange other lodging offsite.  For our in-person conferences, we try to identify 2 or 3 hotels that are rated at least at 4 stars out of 5 in Tripadvisor reviews, that will offer an affordable P-POD special rate, and ideally that can provide some shuttle services to and from our conference site.  We are now in the process of negotiating with hotels for this purpose for 2021.  Information about the hotels we do end up recommending, will be posted later at separate travel-related pages for our two 2021 events:

Discounts and Discounted Groups

We have two types of discounts:

(1) Occasionally, a temporary discount code may be issued promotionally to individuals in some special situation, and that code could be applied during registration for a price reduction on attendance (but not on optional housing or post-conference meal costs).

(2) Members of certain groups may use the discount codes listed below for reduction of the "Physician" or "Other Health Professionals" prices during registration.  The discounts would range from 10% to 13%, depending upon the group.

Photography

P-POD assumes it has permission to utilize, for promotional and educational purposes, photographic images of the conference proceedings and incidental audience presence, unless prior written notification is received from individual attendees that such permission is withheld with regard to them.

Cancellation

A cancellation could always be an opportunity to exercise extraordinary generosity and donate your payments to the P-POD Scholarship Fund.

Any cancellation that results from your own illness or that of your immediate family members, or from action by a government to prevent your travel, will allow you these options:  
applying toward any future P-POD event, all payments we received;  or
in the case of your in-person event registration, applying your payments toward a virtual registration for the same event, and either applying the remainder toward any future P-POD event or refunding the difference;  or
if notice is received more than 8 days before the conference you registered for, receiving full refunds without any cancellation fee.

A cancellation for any other reason, requested 45 days or more prior to the conference you registered for, will allow you these options:
applying toward any future P-POD event, all payments we received;  or
in the case of your in-person event registration, applying your payments toward a virtual registration for the same event, and either applying the remainder toward any future P-POD event or refunding the difference;  or
receiving a refund of all payments we received, minus $45 which will go into the P-POD Scholarship Fund.

A cancellation for any other reason, requested less than 45 days but more than 8 days prior to the conference you registered for, will allow you these options:
in the case of your in-person event registration, applying your payments toward the equivalent virtual registration for the same event, without refund or crediting of any remainder;  or
in the case of your in-person event registration, refunding 35% of the total amounts paid, or else applying 70% of the total paid toward any future P-POD event (with remainders going to the P-POD Scholarship Fund);  or
in the case of your virtual event registration, refunding 50% of the total amounts paid, or else applying 90% of the total paid toward any future P-POD event (with remainders going to the P-POD Scholarship Fund).

A cancellation for any other reason, requested 8 days or less prior to the conference you registered for, will allow you this option:
applying toward any other P-POD event, 1/3rd of all payments we received, with the remainder going to the P-POD Scholarship Fund.

Scholarships

We're pleased to be continuing our scholarship program that was launched in 2019.  A small number of full registration-fee-only scholarships will be awarded in the coming months for our 2021 event.  [Please note also that various opportunities for volunteer participation do come up throughout the year.  If interested, please see our Volunteer page.]  Because in-person conference attendance will be very limited, in-person scholarship opportunities will likewise be much more limited than those for virtual participation.  Scholarship application details....

YOU ARE ELIGIBLE TO BE CONSIDERED IF:
(1) You have not yet registered for the conference.
(2) You have a good reason for attending P-POD.
(3) You can demonstrate financial need that is an obstacle to your attendance.

SCHOLARSHIP APPLICATION TIMELINE:
(1) Our 2021 scholarship application may now be downloaded at scholarship.p-pod.org.


(2) You must apply by one of these deadlines:

  • for in-person attendance at EITHER conference, Thurs. March 25, 2021,

  • for virtual attendance at the May 21-23 conference, Tues. Apr. 27, 2021, or

  • for virtual attendance at the June 25-27 conference, Tues. June 1, 2021.


(3) In-person scholarship award recipients will be notified all-at-once by Thurs. Apr. 8, 2021 for either conference.

(4) Virtual scholarship award recipients will be notified by Thurs. May 6, 2021 for the May 21-23 conference, or by Thurs. June 10, 2021 for the June 25-27 conference.  We will for each event try to make a few early notifications in the month before its deadline.

(5) If you are a recipient, you must accept or decline the offer within one week of its being made.

(6) If you are offered an in-person scholarship and you live outside the local area of the conference Ypsilanti/Detroit or Raleigh), then the scholarship will be considered confirmed and final when you provide confirmation that you have made travel and housing arrangements for attending.  We require this, because many nonprofits who offer event scholarship programs, experience a large number of "no-shows", thus we want to be able to transfer your award to another qualified person if you cannot follow through.


(HOUSING NOTE) Please note that affordable walking-distance lodging in on-campus apartments may be booked as part of our regular online registration.  It is described on our campus housing pages:

Scholarship award recipients may, if desired, purchase this lodging by itself via our online registration, and P-POD staff will answer any questions they have that are not answered on that housing page.
