COVID-19 and Public Health Measures

For all 2022 conferences, we are implementing all appropriate science-based COVID-19-related public health precautions / controls applicable at the time, including vaccination requirements and on-site measures.  Unless circumstances change dramatically, we will continue our May/June protocol for October, and all registrants will be given a secured web address for uploading a record of either 2 rounds of a Pfizer/Moderna vaccine or the single round of a Johnson and Johnson vaccine (or a comparable approved regimen for another country of residence).  Public health realities justify our being prepared to utilize masking most of the time on Oct. 22-23.  Thank you for collectively supporting our community's safety.

ANTI-INFLATION PRICE FREEZE:
We have locked in place until further notice all Extreme Earlybird prices for October.

OUR 8TH ANNIVERSARY REBATE OF $88:  If you registered for our May 21-22, 2022 conference, and (with no time limit) register also for our Oct. 22-23, 2022 conference, we will rebate to you $88 of what you paid.  The same person must attend both events.  Either the in-person or virtual versions for October will qualify.

Our costs of processing registrations and payments will average an estimated $9/person, but we will add only a $2 charge for this during registration.  Our nonprofit invites you, if you wish, either to make an optional donation during registration to make up for this, or else to pay your registration by mailing a check, which should save us an average of $7 or $8 in costs.

Cancellation

A cancellation could always be an opportunity to exercise extraordinary generosity and donate your payments to the P-POD Scholarship Fund.

Any cancellation that results from your own illness or that of your immediate family members, or from action by a government to prevent your travel, will allow you these options:
applying toward any future P-POD event, all payments we received;  or
in the case of your in-person event registration, applying your payments toward a virtual registration for the same event, and either applying the remainder toward any future P-POD event or refunding the difference;  or
if notice is received more than 8 days before the conference you registered for, receiving full refunds without any cancellation fee.

A cancellation for any other reason, requested 45 days or more prior to the conference you registered for, will allow you these options:
applying toward any future P-POD event, all payments we received;  or
in the case of your in-person event registration, applying your payments toward a virtual registration for the same event, and either applying the remainder toward any future P-POD event or refunding the difference;  or
receiving a refund of all payments we received, minus $45 which will go into the P-POD Scholarship Fund.

A cancellation for any other reason, requested less than 45 days but more than 8 days prior to the conference you registered for, will allow you these options:
in the case of your in-person event registration, applying your payments toward the equivalent virtual registration for the same event, without refund or crediting of any remainder;  or
in the case of your in-person event registration, refunding 35% of the total amounts paid, or else applying 70% of the total paid toward any future P-POD event (with remainders going to the P-POD Scholarship Fund);  or
in the case of your virtual event registration, refunding 50% of the total amounts paid, or else applying 90% of the total paid toward any future P-POD event (with remainders going to the P-POD Scholarship Fund).

A cancellation for any other reason, requested 8 days or less prior to the conference you registered for, will allow you this option:
applying toward any other P-POD event, 1/3rd of all payments we received, with the remainder going to the P-POD Scholarship Fund.

Scholarships

We're pleased to be continuing our scholarship program that was launched in 2019.  A small number of full registration-fee-only scholarships will be awarded in the coming months for our 2022 events.  [Please note also that various opportunities for volunteer participation do come up throughout the year.  If interested, please see our Volunteer page.]

YOU ARE ELIGIBLE TO BE CONSIDERED IF:
(1) You have not yet registered for the conference.
(2) You have a good reason for attending P-POD.
(3) You can demonstrate financial need that is an obstacle to your attendance.
(4) You have not received a P-POD scholarship in the past.

SCHOLARSHIP APPLICATION TIMELINE:
(1) Our 2022 scholarship application may now be downloaded at scholarship.p-pod.org.

(2) You must apply by the appropriate deadline date:

  • for in-person or virtual attendance at the Oct. 22-23 conference, Mon. Sept. 19, 2022

(3) Scholarship applicants will be notified within three weeks of applying, but everyone will be notified by one week after the appropriate application deadline.

(4) Award recipients must accept or decline the offer within one week of its being made.  If you are applying for an in-person conference and live outside its local area, then the scholarship will be considered confirmed and final when you provide confirmation that you have made travel and housing arrangements for attending.  If confirmation is not received in one week we will transfer the award to another qualified applicant..

(5) Please note that for the October conference, there is no walkable campus lodging obtainable through P-POD as there has been for many past conferences.  Travel, venue and hotel information is viewable HERE.

(6) Overall in-person attendance at our Oct. 22-23 Atlanta GA conference will be limited based on space, therefore the number of in-person scholarship recipients might also need similarly to be limited.

SCHOLARSHIPS IN MEMORIAM:
Please note that all scholarships awarded by P-POD are given in the memory of one or more deceased individuals, as follows:

  • Cesar Chavez, nonviolent activist for farmworker rights, and a vegan.

  • George Eisman, one of the founding members of the Vegetarian Nutrition Dietetic Practice Group.
