COVID-19 and Public Health Measures

Our nonprofit has always implemented all appropriate science-based COVID-19-related public health precautions / controls we considered applicable at the time, and that always included:
*
*Do not come if experiencing COVID-like upper respiratory or other symptoms.
**Do not come if someone has ex
posed you to the coronavirus.
**Do always mask on-site while not eating/drinking
(deemed single most effective anti-transmission action).
ALSO, vaccination-related policy has been reviewed several times.  For the Sept. 30 - Oct. 2, 2023 P-POD Conference (just as for one year earlier) this has been decided by a VOTE of ALL the conference speakers.  After considering pandemic related trends, they asked to continue to mandate just a basic (no boosters) regimen of an original approved monovalent vaccine (two rounds Pfizer / Moderna, one round Johnson and Johnson, or non-U.S. equivalent).  They rejected requiring any bivalent boosters.  So:
**
Participants will later be given a secured web address for uploading an original basic vaccine record.
Thank you for collectively supporting our community's safety.

Cancellation

A cancellation could always be an opportunity to exercise extraordinary generosity and donate your payments to the P-POD Scholarship Fund.

2023 CHANGE for persons paying registration with a credit/debit card:  The card processor Square announced that for 2023 it will NO LONGER refund the FEES it originally charged, when full or partial amounts get refunded.  This means that, for any P-POD cash refund amount that is allowed via the rules below, 2.9% + 30 cents of that refund can never be paid to you, because P-POD can never get the money back from Square.  E.g. a $90 refund becomes $87.  It's offensive, but we're stuck with it.

Any cancellation that results from your own illness or that of your immediate family members, or from action by a government to prevent your travel, will allow you these options:
applying toward any future P-POD event, all payments we received;  or
in the case of your in-person event registration, applying your payments toward a virtual registration for the same event, and either applying the remainder toward any future P-POD event or refunding the difference;  or
if notice is received more than 8 days before the conference you registered for, receiving full refunds without any cancellation fee.

A cancellation for any other reason, requested 45 days or more prior to the conference you registered for, will allow you these options:
applying toward any future P-POD event, all payments we received;  or
in the case of your in-person event registration, applying your payments toward a virtual registration for the same event, and either applying the remainder toward any future P-POD event or refunding the difference;  or
receiving a refund of all payments we received, minus $45 which will go into the P-POD Scholarship Fund.

A cancellation for any other reason, requested less than 45 days but more than 8 days prior to the conference you registered for, will allow you these options:
in the case of your in-person event registration, applying your payments toward the equivalent virtual registration for the same event, without refund or crediting of any remainder;  or
in the case of your in-person event registration, refunding 35% of the total amounts paid, or else applying 70% of the total paid toward any future P-POD event (with remainders going to the P-POD Scholarship Fund);  or
in the case of your virtual event registration, refunding 50% of the total amounts paid, or else applying 90% of the total paid toward any future P-POD event (with remainders going to the P-POD Scholarship Fund).

A cancellation for any other reason, requested 8 days or less prior to the conference you registered for, will allow you this option:
applying toward any other P-POD event, 1/3rd of all payments we received, with the remainder going to the P-POD Scholarship Fund.

Scholarships

We're pleased to be continuing our scholarship program that was launched in 2019.  A small number of full registration-fee-only scholarships will be awarded in the coming months for the Sept. 30 - Oct. 2, 2023 Newark NJ and Virtual Option conference.  [Please note also that various opportunities for volunteer participation do come up throughout the year.  If interested, please see our Volunteer page, which will soon be updated to be more specific to the autumn 2023 conference.]

YOU ARE ELIGIBLE TO BE CONSIDERED IF:
(1) You have not yet registered for the conference.
(2) You have a good reason for attending P-POD.
(3) You can demonstrate financial need that is an obstacle to your attendance.
(4) You have not received a P-POD scholarship in the past.

SCHOLARSHIP APPLICATION TIMELINE:
(1) Our 2023 scholarship application is downloadable at scholarship.p-pod.org for 2023 submissions.  You DOWNLOAD it to complete it.  You do not type on it online.

(2) You must apply by the final 2023 deadline date of Weds. August 23.

(3) Scholarship applicants will be notified of our action within three weeks of applying, but everyone will be notified by one week after the final application deadline noted above.

(4) Award recipients must accept or decline the offer within one week of its being made.  If you are applying for an in-person conference and live outside its local area, then the scholarship will be considered confirmed and final when you provide confirmation that you have made travel and housing arrangements for attending.  If confirmation is not received in one week we will transfer the award to another qualified applicant..

(5) Please note that for 2023 conferences there is no walkable campus lodging obtainable through P-POD as there has been for some past events.  Travel, venue and hotel information is detailed at newark.p-pod.org.

SCHOLARSHIPS IN MEMORIAM:
Please note that all scholarships awarded by P-POD are given in the memory of one or more deceased individuals, as follows:
